Carline Dismissal Logistics
2018-2019 Pickup & Drop Off Plan
Objective: Ensure the safe, orderly and quick drop off and pickup of all students.
Overview: After an extensive review from a committee of faculty across all grade levels, parents of all ages, administration and facilities, the following plan seeks to improve the safety and quicken the process of arrival and dismissal at Meadowbrook. We fully expect some growing pains as we enter this system - please do your part by doing your duties diligently and reporting any issues to Maddie Lee.
Areas identified for improvement:

Safety - Multiple faculty and parents remarked that we have been fortunate not to have had a serious student safety incident in car line.

Speed - Carline duration at various times of the year was longer than ideal

Orderliness - Carline has been loud and generally chaotic.
Key Changes:

School Pass - The pink slip system is being replaced by an electronic system called School Pass. Parents will now communicate dismissal and absence changes through the website or app. All changes send an email confirmation to the classroom teachers, the front office and to the parents. This streamlined workflow increases student safety, reduces email and is used in the pickup process.

You must get coverage for pickup or drop off duty. The overall number of duties has been reduced, but each duty is critical. Missing a duty endangers the safety of our students.

Students load from the curb only. There is now one lane for loading. Cars may carefully pull left of the loading area and depart immediately after loading.This is a huge improvement in student safety and reduces student exposure to moving traffic. This also reduces the number of duties needed.
Policies:
- People at car line cannot be asked to move in order to allow cars parked in the front lot to leave. Be sure to not park the in front lot if needing to exit during carline.
- If a parent would like to check a child out from the front desk within 30 minutes of carline, they must park in the business office lot and walk down. Meadowbrook can not guarantee changes called in within 30 minutes of carline.
- Parents must stay with car in carline. If needing to leave a car, they must pull out of carline and park. This is a safety issue.
- Parents must pick up through carline - no parking in gravel or other nearby streets.
- Students may never walk up to a parking lot unattended by an adult to meet a parent.
- Students who break carline procedure may be subject to disciplinary actions.
- Any student not picked up at end of car line will go to after school, Students in grades JK-5 will be charged the drop in rate
- All dismissal changes need to go through School Pass or front desk
- It's extremely important to register drivers as students may be held back until driver can be confirmed. Parents can register drivers through school pass.
- Parents cannot make changes to school pass within 30 minutes of carline. Any changes at this time must be called in to the front desk.
Duties
- Specific duty assignments will be made and shared by Lower School Coordinators
- These duties will added to your personal Meadowbrook calendar.
- Duties are each essential and must be covered, no matter the reason (illness, conference, parent meeting, etc.) This is a student safety issue. If you are unable to find coverage, notify your supervisor.
- Faculty cannot leave until the duty is completely done.
- If you trade duties or find coverage for your duty, please notify Pam U so she can update the duties calendar.
School Pass Overview
School-pass is a comprehensive system to help coordinate the communications and logistics around carline.
Overview of School-Pass communications:
Parents use school pass to communicate dismissal plans, absences and tardies. This information is collected and used during dismissal.
As parents make changes to the dismissal plan, email notifications are automatically sent to the classroom teachers, front desk and the parent themselves as a verification.
At dismissal time, students will be staged in smaller groups where a projector will be set to display the school-pass carline view. When a car arrives on campus, the carpool number is added to school-pass by a faculty member. At that time, the car, student name, parent name and other information will be displayed in the staging area of that matching student. The student will then walk to the pickup area. A faculty member in the staging area will mark the student as en route, so the pickup location faculty know the student is on the way. The student is then loaded into the car from the curb - never touching the road for safety. As soon as a car is fully loaded, they will carefully pull left of the carline and proceed to exit campus. As the car leaves campus, the car will be marked as exiting, thus completing the carline process for that vehicle. This process is repeated for each vehicle until the carline has ended.

Morning Drop Off - 7:30

Traffic Flow -
- One lane down Cedar onto Farm Road
- One lane down hill, JK turning down Penny Lane
- JK park in back and enter building with students
- Grades 1-8 and JK parents who choose so, drop off at front courtyard.
Duties
- 1 Playground at 7:30 (Rashna)
- Cannot be late. Makes call on indoor vs outdoor. Walks JK/SK to the classroom at end of drop off. Must do indoor duty on inclimate days.
- 2 Field/Playground at 7:30
- Watches the fields, ensures students are safe. Must do indoor duty on inclimate days.
- 2 Greeters (Kathy - Vans, 1 others)
- Opens car doors, greets parents, helps students onto sidewalk and towards the playground or indoors, depending on weather.
12:30 JK Dismissal

Traffic Flow -

Duties
- JK dismissal is run by JK teachers, who check students out in School Pass
- If student isn’t picked up, go to afterschool

- Ensure traffic moves smoothly, prevent incorrect queuing.
- 1 Penny Lane (facilities)
- Ensure traffic moves smoothly, prevent incorrect queuing, helps students cross traffic to athletic fields
- 1 Front entrance triangle (facilities)
- Ensure traffic moves smoothly, prevent incorrect queuing.
- 1 Hallway monitor
- Keep students moving, ensure all students are either in staging area or on way to pick-up.

Note - on Tuesday Game Days with a MS division meeting, coaches will likely be late to the meeting.

Fall 2018 Changes/Reminders
Changes/reminders:
- The camera system is up and running. There is no longer a car line walker duty. The Exit monitor directs cars to pull out waiting lot quickly - if a car is waiting more than 45 seconds at the front of the line they should be moved. The Exit Monitor also enters any unregistered cars into the School Pass Faculty App.
- All outdoor carline staff must wear a reflective vest for safety. This is extremely important as it is getting darker earlier.
- All students will gather at the second set of benches, furthest from the grinker vestibule. They will wait there, and walk with their cars towards the front of the line. This helps students see their cars and will help ensure the full sidewalk is used for loading.
- Students will be instructed to walk towards their car and enter the car - no longer waiting for a teacher’s help. Now that students are loading strictly from the sidewalk, it’s completely safe for a student to load. If a student needs to load from anywhere other than a sidewalk, they must wait for teacher help. Loaders will also be sure to help our youngest students, particularly JK, SK and 1st grade students.
